Uploaded images may also contain embedded location data or other metadata. You should remove unnecessary metadata and upload only information relevant to your submission.
Uploaded files may be stored securely on the website server and accessed by authorised persons for reviewing, responding to or following up on the submission. They will not intentionally be made public without appropriate authorisation, consent or another lawful basis.

Who we share your data with
We do not sell or rent your personal information. Information may be shared only when reasonably necessary with:
- Authorised Sundarban Coalition personnel, the designated Complaints Response Mechanism Committee and the authorised Host Organisation;
- Relevant member organisations, implementing organisations or management representatives who need the information to review or respond to a submission;
- Trusted service providers supporting website hosting, email delivery, form processing, security, backup or technical maintenance;
- Professional advisers, investigators or specialised support and referral services where appropriate;
- Government, regulatory, emergency or law-enforcement authorities when disclosure is required by applicable law or reasonably necessary to prevent serious harm, protect a person or investigate suspected unlawful activity.
Feedback, complaint and safeguarding information will be shared on a need-to-know basis, taking account of confidentiality, safety, dignity and applicable legal obligations. Google may process limited technical information when reCAPTCHA is used to protect our forms.

How long we retain your data
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including responding to enquiries, managing feedback or complaints, conducting investigations, maintaining accountability records, resolving disputes and meeting legal, contractual, donor or safeguarding obligations.
Feedback, complaint and safeguarding records may be retained while a case is active and for an appropriate period after closure, considering confidentiality, safety, accountability and applicable requirements. User account information may be retained while the account remains active. Technical logs and backups may be retained for limited periods according to security and backup procedures.
Information may be securely deleted, anonymised or restricted when it is no longer required, unless continued retention is necessary for legal compliance, protection from harm, dispute resolution, audit or safeguarding purposes.

Subject to applicable law and legitimate organisational obligations, you may request:
- Confirmation of whether we hold personal information about you;
- Access to a copy of your personal information;
- Correction of inaccurate or incomplete information;
- Deletion of information that is no longer required;
- Restriction of, or objection to, certain uses of your information;
- Withdrawal of consent where processing is based on consent.
To make a privacy request, email info@sundarbancoalition.org with sufficient information to identify the relevant record. We may need to verify your identity before responding. Some requests may be limited where information must be retained for safeguarding, legal compliance, investigation, audit, dispute resolution or the protection of another person’s rights and safety.
If you submitted a report anonymously and provided no identifying or contact information, we may be unable to locate the record or verify that it relates to you.

Where your data is sent
Website and form information may be processed or stored using service providers that support our hosting, email delivery, security, backup and technical operations. These providers may operate servers or technical infrastructure in Bangladesh or other countries.
Our current website and domain email services are supported by Hostinger. Google reCAPTCHA may process limited device, browser, network and interaction information through Google’s infrastructure to detect spam and automated abuse. Submission content is not intentionally sent to Google through reCAPTCHA.
Where information is processed outside Bangladesh, we seek to use reputable service providers and appropriate technical, contractual and access-control measures. However, privacy and data-protection requirements may differ between countries.

Access to feedback, complaint and safeguarding information is limited to authorised persons who require it for their assigned responsibilities. Users with authorised accounts are responsible for protecting their passwords and devices and for reporting suspected unauthorised access promptly.
No online system or method of electronic storage can be guaranteed to be completely secure. If we identify a security incident involving personal information, we will assess it and take appropriate action according to the nature of the risk and applicable obligations.

The website is intended to provide information and accessible communication channels for diverse community members and stakeholders. A child or young person may use the Feedback & Complaint Form to raise a safeguarding concern. Where it is safe and appropriate, they may seek support from a trusted adult, but access to the reporting mechanism should not depend on doing so.
Information involving children, survivors or other persons at heightened risk will be handled with additional care, restricted access and attention to safety, dignity and the best interests of the affected person. Please do not submit unnecessary identifying information, photographs or documents relating to a child or another vulnerable person.
This website is not monitored as an emergency service. If a child or any other person is in immediate danger, contact the appropriate local emergency service or responsible authority without delay.
