Your Voice Matters

The Sundarban Coalition welcomes feedback, concerns and complaints from community members, programme participants, member organisations, staff, partners and other stakeholders.

Feedback helps us improve our work, strengthen accountability and respond appropriately when something goes wrong.

You may raise a concern about the Coalition, a member organisation, a programme, an activity, a staff member, representative, contractor, vendor or another person connected with Coalition-supported work.

What You Can Report

You may submit feedback or a complaint concerning:

  • Programme quality or access to services
  • Exclusion, discrimination or unfair treatment
  • Misconduct or inappropriate behaviour
  • Sexual harassment, exploitation or abuse
  • Child safeguarding or child-protection concerns
  • Fraud, corruption or financial irregularities
  • Misuse of programme resources or assistance
  • Breach of confidentiality or personal-data protection
  • Abuse of authority, intimidation or retaliation
  • Human trafficking, forced labour or other serious harm
  • Conduct that violates applicable Coalition policies or standards
  • Any other concern connected with Coalition-supported work

You do not need to be directly affected to report a concern that you have witnessed or reasonably suspect.

Who Can Submit Feedback or a Complaint

Feedback or complaints may be submitted by:

  • Community members and programme participants
  • Representatives of member organisations
  • Coalition and project staff
  • Volunteers, contractors, vendors and service providers
  • Government or civil society representatives
  • Partners, visitors and other stakeholders

How the Process Works

When feedback or a complaint is received, the Coalition will follow an appropriate process based on the nature and seriousness of the matter.

The process may include:

  1. Receiving and registering the feedback or complaint
  2. Acknowledging receipt when contact information is available
  3. Referring the matter to the appropriate responsible body
  4. Conducting an initial assessment
  5. Collecting relevant information and evidence
  6. Interviewing relevant persons when necessary
  7. Preparing findings and recommended actions
  8. Taking or referring appropriate action
  9. Informing the complainant of the outcome where possible
  10. Providing an opportunity to appeal when appropriate
  11. Closing and securely recording the matter

The Safeguarding and Complaint Response Mechanism Committee, Host Organisation and Governance Council may have roles in handling or overseeing complaints, depending on the nature and seriousness of the concern.

Confidentiality and Protection

Information will be shared only with persons who need it to assess, manage or respond to the matter.

The Coalition will seek to protect the confidentiality, dignity and safety of complainants, survivors, witnesses and whistleblowers. However, limited disclosure may be necessary to investigate a concern, protect someone from harm or comply with applicable legal obligations.

Retaliation, intimidation or punishment against a person for raising a concern in good faith is not acceptable.

Submitting Information Safely

Please provide only information that is relevant to the concern.

Where possible, include:

  • What happened
  • When and where it happened
  • Who was involved
  • How you became aware of the matter
  • Whether anyone is currently at risk
  • What action or response you are seeking

Do not upload or submit unnecessary identity documents, medical records, financial information, photographs of children or other sensitive files through the website.

Immediate Safety Concerns

This website is not an emergency-response service.

If someone is in immediate danger or requires urgent medical, police or protection assistance, contact the appropriate local emergency service or responsible authority without delay.

Submitting a complaint does not guarantee a particular outcome, but every report will be considered in accordance with the Coalition’s applicable procedures.

Data Protection

Personal information will be collected only when necessary for receiving, assessing and responding to feedback or complaints.

Information will be handled confidentially, retained only as long as necessary and protected through appropriate administrative and technical measures.
